Job Summary:
The Contract Administrator is responsible for the supporting the administration and close-out of all existing project contracts and reviewing project contracts during tender.
Detailed Job Description:
- Updates signed contract documents by including all addenda and ensures its dissemination to the concerned project teams.
- Reviews and maintains knowledge of the terms and conditions of existing contracts, identifies potential problem areas and reports/evaluates subsequent demands of all projects.
- Monitors the progress of projects with regards to contract compliance on a regular basis.
- Conducts risk analysis of project execution plans and obligations with emphasis on issues which could give rise to time and cost implications.
- Identifies all potential commercial risks and monitors, records and elevates it up to the customers and consultants, and provides updates as needed during post-contract stages.
- Reviews principle project specific and contractual extension of time and delay claims for on-going projects to be submitted to the concerned client.
- Provides support to projects with regards to negotiation of all significant change orders and other claims.
- Monitors claims and disputes with clients and assists in its resolution.
- Reviews letters and responses to clients with regards to issues concerning the project contract including notification and quantification letters as well as collection letters for unsettled billings.
- Coordinates with project team in seeking extension of time, and drafting where applicable also formulation of variation orders.
- Recommends actions that may be undertaken to minimize any imposition of liquidated damages and to achieve extension of time in coordination with project management and within the terms and conditions of contracts.
- Reviews proposed contracts to check its compliance to various applicable contract and industry standards and with the company policies and procedures.
- Reviews bid documents, with prime objectives of identifying erroneous provisions and risk areas with special emphasis on potential time and financial consequences which are considered necessary to protect company’s commercial & contractual interest.
- Advises the management regarding risks found in the conditions of contract that may not be eliminated due to commercial reasons.
- Establishes commercial clarifications and terms and conditions to be incorporated into the company’s bid qualifications.
- Drafts contractual revisions considering the issues identified after reviewing the contract to be submitted to the prospect client for their acceptance.
- Performs other related job/duties as may be assigned by the management from time to time.
